Privacy Policy

1. Who we are

Tryouts ("we", "us", "our") operates tryouts.com, a video-first applicant review platform. Our contact email is privacy@tryouts.com.

2. Information we collect

• Account data: name, email address, and authentication identifiers when you register.
• Profile data: role type, display name, links, and preferences you provide during onboarding or profile setup.
• Submission data: video recordings, text answers, and consent records submitted to tryouts.
• Derived AI data: transcripts of your video answers, AI-generated summaries, tags, and scores produced by our automated review pipeline.
• Usage data: pages visited, actions taken, and device/browser information collected automatically.
• Billing data (organizers only): organization name, billing email, and Stripe customer identifiers. We do not store payment card numbers.

3. How we use your information

• To operate the platform, including hosting video submissions and running AI evaluation.
• To send transactional emails (submission confirmations, review notifications, deletion confirmations).
• To process payments for paid plans via Stripe.
• To enforce our Terms of Service and prevent abuse.

4. Data sharing

We do not sell your personal data. We share data only with:

• Hosting and storage: Neon (database), Vercel (application hosting), Mux (video hosting and transcoding).
• AI processing: Anthropic (Claude) and Google (Gemini) — when video transcripts or applicant profiles are sent for AI review. These providers process data on our behalf and do not use it to train their models under our agreements.
• Email delivery: Resend.
• Payments: Stripe.
• Analytics: PostHog.
• Error monitoring: Sentry.
• Organizers: The organizer running a tryout you apply to sees your submission, transcript, AI profile, and any contact info you provide.
• Law enforcement when required by law.

5. Data retention & automatic deletion of videos

This is important. We do not retain your video recordings indefinitely.

• Video recordings: stored only for the duration of the tryout and automatically permanently deleted 14 days after the tryout deadline. Once deleted, the videos cannot be recovered.
• Full-text transcripts: retained alongside the video for 14 days after the tryout deadline, then permanently deleted along with the video.
• AI-generated summary profile (short text): retained by the organizer's workspace so they can find you again for future opportunities. The AI profile does not contain a verbatim transcript.
• Account data: retained until you delete your account.
• Billing records: retained for 7 years for tax compliance, per our payment processor's policy.

You can delete your individual submission at any time using the link in your submission confirmation email — this immediately removes your video, transcript, and AI profile from the system. You can delete your entire account from Settings.

6. Your rights

Depending on your location (including under GDPR and CCPA), you have rights to:

• Access the personal data we hold about you.
• Correct inaccurate data.
• Delete your data ("right to be forgotten") — exercised via the link in your submission email or by emailing us.
• Object to specific processing (e.g., automated decision-making).
• Portability — receive a copy of your data in a machine-readable format.

Note: AI is used to summarize and score submissions, but humans make all final casting decisions. To exercise any right, email privacy@tryouts.com.

7. Cookies

We use an HTTP-only session cookie (tryouts_session) to keep you logged in. We do not use third-party advertising cookies.

8. Security

Passwords are hashed with scrypt. Sessions use 192-bit random tokens. We use HTTPS for all data in transit.

9. Children

Tryouts is not directed at children under 13. We do not knowingly collect data from children.

10. Changes

We may update this policy. Material changes will be communicated by email or an in-app notice.
